Personal assistant (PA) to chairman | managing director

We are seeking a highly professional, confident and well-organized personal assistant to provide direct administrative and executive support to the chairman/managing director.

Key responsibilities

  • Manage the chairman/managing director’s daily schedule, appointments, meetings and travel arrangements.
  • Handle professional correspondence, emails, letters, reports and confidential documents.
  • Communicate and coordinate with banks, financial institutions, lawyers, government authorities, suppliers, investors and business partners.
  • Assist with banking-related matters, including preparing and following up on documentation, facilities, payments, transfers and bank correspondence.
  • Liaise with bank managers and relationship officers on behalf of the chairman/managing director.
  • Conduct negotiations and follow-ups with suppliers, service providers, business partners and other stakeholders.
  • Attend meetings when required and prepare minutes, action points and follow-up schedules.
  • Monitor important deadlines, payments, renewals, contracts, licences and business commitments.
  • Prepare presentations, proposals, reports, letters and other business documents.
  • Maintain strict confidentiality regarding personal, financial, corporate and business information.
  • Coordinate between different companies, departments and external professionals.
  • Handle urgent tasks and business matters independently when required.
  • Represent the chairman/managing director professionally when communicating with external parties.
  • Perform other duties and special assignments as required.

Essential requirements

  • Fluent English – written and spoken.
  • Tamil language skills will be an added advantage but are not mandatory.
  • Strong negotiation and communication skills.
  • Good understanding of banking and financial procedures.
  • Excellent organizational and time-management skills.
  • Ability to communicate confidently with senior-level professionals.
  • Strong computer literacy, including Microsoft Word, Excel, PowerPoint, email and online banking platforms.
  • Ability to handle confidential information with a high level of discretion.
  • Professional appearance, attitude and communication.
  • Ability to work under pressure and handle multiple responsibilities simultaneously.
  • Willingness to work flexible hours when business requirements arise.
  • Previous experience as a personal assistant, executive assistant, banking assistant, relationship officer or similar position will be an advantage.
