Job summary

We are a well-established automotive company in Sri Lanka specializing in the importation of passenger and commercial vehicles. As we expand our portfolio with the introduction of a new vehicle brand to the local market, we are looking for a detail-oriented, proactive, and organized individual. This role is responsible for supporting sales operations while coordinating logistics, procurement, import documentation, and vehicle registration processes to ensure efficient and seamless business operations.

Responsibilities

  1. Prepare, maintain, and manage sales documentation and customer files.
  2. Provide administrative support to the sales team to ensure smooth day-to-day operations.
  3. Monitor order status and coordinate production orders with suppliers.
  4. Coordinate import shipments and logistics activities, ensuring the timely delivery of vehicles.
  5. Liaise with freight forwarders, shipping agents, and customs authorities to facilitate customs clearance.
  6. Coordinate pre-delivery inspection (PDI) activities and manage RMV registration processes.
  7. Prepare sales reports, maintain accurate records, and update relevant databases.
  8. Ensure all documentation complies with company policies, regulatory requirements, and import/export procedures.
  9. Coordinate procurement-related documentation and communicate effectively with local and overseas suppliers.
  10. Support cross-functional teams to ensure efficient operational workflows.

Requirements

  1. Diploma or degree in business administration, logistics, supply chain management, or a related discipline.
  2. Minimum of 3 years’ experience in sales administration, logistics, procurement, or a similar role.
  3. Good knowledge of import/export documentation, customs clearance procedures, and logistics coordination.
  4. Strong organizational, planning, and multitasking skills with excellent attention to detail.
  5. Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
  6. Good communication, interpersonal, and coordination skills.
  7. Ability to work independently while managing multiple priorities in a fast-paced environment.
