Role summary

The executive secretary will support the director in managing marketing operations, tender coordination, institutional communication, and cross-functional administration in a pharmaceutical distribution company. The role requires strong coordination across departments, especially marketing, finance, hr, and accounts.

Key responsibilities

  1. Provide direct secretarial and administrative support to the director, including meetings, agendas, and confidential correspondence.
  2. Coordinate marketing and sales operations, including hospital, doctor, and institutional communications.
  3. Handle SPC/institutional tenders, quotations, and procurement coordination.
  4. Maintain sales data, generate reports (DCMS), and support forecasting.
  5. Coordinate with HR, finance, and accounts for recruitment, allowances, travel claims, and incentives.
  6. Manage travel, events, sponsorships, and official arrangements.
  7. Ensure proper documentation, record-keeping, and inter-department communication.
  8. Maintain strict confidentiality and support corporate governance compliance.

Qualifications & experience

  1. Qualification in company secretarial practice or related field.
  2. Experience in secretarial/admin or coordination role preferred.
  3. Exposure to pharma marketing, tenders, or institutional sales is an advantage.
  4. Strong communication, coordination, and organizational skills.
