We’re currently on the lookout for an Admin Officer to strengthen our growing team.
Qualifications
- A diploma or degree in Business Administration, Management, or a related field.
- Strong organizational and time-management skills with the ability to handle multiple tasks and meet deadlines.
- Excellent communication and interpersonal skills to coordinate with clients and internal teams.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- High level of attention to detail and accuracy in handling documents and data.
- Ability to follow up proactively on pending documents, payments, and tasks.
Responsibilities
- Maintain and organize documents and ensure proper documentation and standardization of processes within the Secretarial Division.
- Coordinate with clients and collect required information and documents in a timely manner.
- Follow up on client outstanding payment & documents.
- Maintain proper filing systems (both physical and digital) for all client-related documents.
- Coordinate with the Registrar of Companies (ROC) for company secretarial matters such as company incorporation, annual returns, changes of directors/shareholders, and other statutory filings.
- Assist in preparing and submitting documents to the ROC and follow up on application status when required.
- Prepare and update client information records and maintain proper tracking of pending matters.
- Coordinate internal communication between the Secretarial Division and other departments when necessary.
- Maintain confidentiality of client information and company documents.
- Support the team in meeting deadlines by ensuring required documents and approvals are obtained on time.
- Perform other administrative duties assigned by management from time to time.
