Executive personal assistant to directors

We are looking for a dependable, resourceful, and solutions-oriented individual who enjoys taking ownership, staying organized, and ensuring that things get done efficiently. The ability to anticipate needs, manage competing priorities, and maintain confidentiality is essential.
Key responsibilities
- Manage and coordinate the directors’ calendars, appointments, meetings, and daily schedules.
- Screen and manage emails, correspondence, and communications.
- Coordinate meetings, prepare reports, presentations, and follow-up actions.
- Track and monitor tasks, deadlines, and ongoing projects.
- Liaise with staff, consultants, contractors, clients, suppliers, and external stakeholders on behalf of the directors.
- Coordinate personal appointments, bookings, reservations, and family-related events.
- Arrange and monitor payments, invoices, subscriptions, and administrative transactions.
- Assist with banking, documentation, and general administrative requirements.
- Support special projects and ad-hoc assignments across the group’s business operations.
- Maintain confidentiality in all matters relating to the directors and the group.
Requirements
- Minimum 2 years’ experience in an executive assistant, personal assistant, administrative, or similar role.
- Excellent command of English and Sinhala, both written and spoken.
- Professional command of Tamil, both written and spoken would be an added advantage.
- Strong organizational and time-management skills.
- Exceptional attention to detail and ability to multitask.
- High level of integrity, professionalism, and discretion.
- Proficiency in Microsoft Office and Google Workspace.
- Ability to work independently and take ownership of responsibilities.
Additional information
- Candidates who are available to join immediately will be given preference.
- Final salary will be commensurate with the candidate’s qualifications and experience.
- The office operates 5.5 days a week, Monday to Friday – 8:30 AM to 5:30 PM and Saturday – 9:00 AM to 1:30 PM.
- Office is based in Kirulapone, Colombo 5.
- This is not a contract role, it is for permanent staff (6 months probationary period).
