Document Assistants (for Procurement, Financial, and Administration Subjects)
To strengthen the administrative, procurement, and financial functions of the PMU is hiring three (03) Document Assistants as above. Recruitment will follow World Bank guidelines applicable to non-consultancy specialist (CNS) staff.
To provide assistance for documentation, record keeping, data gathering, and administrative support to the PMU, ensuring efficient management of project records, correspondence, and operational workflows essential for smooth project implementation.
Scope of work and responsibilities
- Document management — maintain organized physical and electronic filing systems for all project documentation.
- Procurement support — assist in preparing procurement documents, maintaining procurement records, and ensuring compliance with government and World Bank guidelines.
- Financial administration — support financial documentation processes, including filing vouchers, maintaining ledgers, and organizing supporting documents.
- General administration — manage correspondence, scheduling, logistical arrangements, and administrative coordination for meetings, workshops, and PMU activities. And translating documents from Sinhala to English and Tamil.
- Meeting documentation — prepare agendas, draft minutes, and ensure timely circulation of meeting materials.
- Data entry — enter project-related information into databases, spreadsheets, and monitoring systems.
- Preparation of presentations, reports and letters.
- Stakeholder coordination — assist PMU staff in liaising with internal and external stakeholders to ensure timely flow of information.
Qualifications and experience
- A bachelor’s degree in project management or a related discipline is desirable.
- At least one (01) year relevant work experience.
- Proficiency in MS Office (Word, Excel, PowerPoint) and document management systems.
- Strong communication skills in English and Sinhala/Tamil.
- Ability to work independently and collaboratively within a team environment.
- Preference given to similar work experience with donor agencies.
Duration and contractual arrangements
- Contract duration: [12 months].
- Annual extension based on performance and project requirements.
Remuneration
Negotiable, based on the qualifications and experience.
